Changing management is a large task that requires more than one person to tackle. Most management firms boast of having a dedicated team to handle the transition. They process your building documents, and you never hear from them again.
At DivisionPM, we take a different approach. The team managing the building will also be the team conducting the transition. We do this so that they can dive deep into every facet of the property while familiarizing themselves with your residents and ensuring their needs are met. The team will be with you step by step from the start of the transition to the day-to-day management.
Open communication is key to kick-starting the transition process. We schedule a meeting with the outgoing management to discuss the transition plan comprehensively. During this meeting, we clarify roles and responsibilities, establish timelines, and address any concerns or specific requirements.
Next, we facilitate the transfer of essential documents and information to DivisionPM. This includes resident information & records, financial statements, compliance documents, maintenance logs, vendor contracts, and any pertinent legal documents. Organizing these materials in a structured format streamlines the handover process, and our team ensures that nothing crucial is overlooked.
Notifying residents and vendors about the upcoming change in property management is also essential. We communicate the transition details, including DivisionPM’s contact information and any procedural changes that may affect them. Maintaining transparent and proactive communication fosters trust and minimizes confusion during transition.
Most of the transition occurs digitally, with files being transferred from prior management to your new team. However, some physical files and items also require transfer to our offices, and we arrange for that promptly.
We recommend thirty days for a seamless change of management.
